Privacy Policy

1. Who the controller is

For this website, the data controller is Smart Solutions Group (122 Tebriz St., Baku, Azerbaijan AZ1111; [email protected]).

An important distinction: for data processed inside a customer’s own Procure.az tenant — tenders, bids, supplier records and contract documents — that customer is the controller and we act as a processor on their instructions and under contract. If your request concerns data of that kind, please approach the organisation in question first.

2. What we collect

This website collects data from exactly three sources.

• When you submit the contact form: your name, organisation name, email, phone, your message, which page the form was sent from, and the interface language. Name, a valid email and a message are required; organisation and phone are optional.
• Usage analytics via Google Analytics 4: pages viewed, approximate location (city level), device and browser type, and how you arrived at the site. We use this in aggregate.
• Technical server logs kept by Cloudflare, our hosting and CDN provider: standard technical data such as IP address, request time and user agent, used for security and abuse prevention.

There are no advertising trackers, profiling scripts or third-party ad-network pixels on this site. The form contains one hidden field (a honeypot) whose only purpose is to filter automated spam; it collects nothing from a human visitor.

3. Why we use it, and on what basis

We use contact-form data only to answer your enquiry, arrange a demo and discuss your procurement needs. The basis is your own request to us and our subsequent legitimate interest in following it up.

We use analytics to understand which parts of the site are useful and to improve the content.

We use technical logs to keep the site secure and available.

We do not add you to marketing lists without asking, we do not sell your data, and we do not pass it to anyone for advertising.

4. Who we share it with

We share your data only with the service providers below, and only to the extent they need it to provide that service to us:

• Cloudflare — website hosting, CDN and form processing (Cloudflare Pages Functions).
• Telegram — your enquiry is delivered as a notification to our sales team’s internal Telegram chat.
• MailChannels — when the LEAD_EMAIL_TO setting is configured, the enquiry is also relayed by email.
• Google (Analytics 4) — website usage analytics.
• Microsoft Outlook Bookings — if you book a slot yourself via the “Book a demo slot” button, that service’s own privacy terms apply.

Some of these providers process data on servers outside Azerbaijan. We may disclose data to competent authorities where the law requires it.

The Yandex Metrica analytics tag is wired into the site but is currently switched off and sends nothing. If it is enabled, this list will be updated.

5. AI features and your data

Procure.az is an AI-first platform, so we state this separately and plainly: customer documents, prices and bids are not used to train AI models. AI features run under contractual no-training terms, and can be pointed at a model hosted inside the customer’s own infrastructure where that is required.

Data from this website’s contact form is likewise never used for model training.

6. How long we keep it

We keep enquiries for as long as the commercial relationship requires after the exchange ends, and then only for the minimum period accounting and legal obligations allow. If you would like yours deleted sooner, email us and we will delete it.

Analytics data is retained under Google Analytics’ standard retention settings. Technical server logs are kept for a short period, typically a few weeks.

7. Cookies

This site sets no marketing cookies of its own. The only cookies are Google Analytics 4 analytics cookies.

You can block or delete cookies in your browser settings, and you can use Google’s official Analytics Opt-out browser add-on. Blocking analytics cookies does not affect how the site works.

8. Security

The site is served over HTTPS only. Contact-form data travels over an encrypted channel to our internal notification channel; we do not store it on the website.

Inside the platform itself we apply role-based access, multi-factor authentication, encryption at rest, sealed bidding and an immutable audit trail. No system is risk-free, but we will walk you through our security model in detail if you ask.

9. Your rights

In relation to your personal data you have the right to:

• Know what data we hold about you and obtain a copy of it
• Have inaccurate or outdated data corrected
• Request deletion of your data
• Object to processing, or ask us to restrict it
• Withdraw consent you have given, at any time

Email [email protected] to exercise any of these. We answer within 30 days at the latest. For data held inside a customer’s own tenant we may have to refer you to that customer (see section 1).

10. Children

Procure.az is a business-to-business procurement platform and is not directed at children. We do not knowingly collect data from anyone under 16.

11. Changes to this policy

If we update this policy we change the “last updated” date on this page. If the nature of the processing changes materially, we will say so separately.
